    At Signant Health the Manager, Administrative Services will lead the administrative team and oversee facility related activities while working in Signant's modern new office in Blue Bell, PA.  This person will plan, direct, and coordinate the administrative and facilities services in Blue Bell, PA  while also overseeing some facilities, administrative, and travel services for our entire organization. This new position has growth potential and is a fantastic opportunity for a leader looking to expand their skills in multiple countries. We are seeking a Manager who is ready to move forward with Signant Health.  Responsibilities also include directing the support services team (internal and external) and managing vendor/partner activities and relationships.

    Key Accountabilities/Decision Making & Influence

    • Direct and evaluate administrative operations and internal/external team to ensure business operates in a smooth, effective manner.
    • Oversee staff as they perform office tasks, such as answering phones, greeting and directing visitors, making arrangements for office activities or events, cleaning, maintenance, shipping, office supplies and distribution of mail.
    • Buy, store, manage and distribute supplies, including office furniture and equipment and manage related vendors and partners.
    • Develop, analyse, review and implement administrative department systems and controls.
    • Establish and reinforce relevant regulations, guidelines, budgets and timelines.
    • Ensure that information and records are organized and stored properly.
    • Recommend changes to policies or procedures in order to improve operations.
    • Plan budgets for contracts, equipment, and supplies.
    • Manages the global travel program and related vendors.
    • Manages the telephone and answering systems.
    • Oversee the maintenance and repair of machinery, equipment, and electrical and mechanical systems.
    • Ensure that facilities meet environmental, health, and security standards and comply with government regulations.
    • Oversee and monitor facilities, buildings, and grounds planning, operations, safety, security and maintenance, and manages related vendor and partner relationships.
    • Coordinates space allocation and assists with office space design and installation, ergonomics, energy utilization and quality of work environment
    • Directs insourced and outsourced staff, including administrative, maintenance, grounds, and custodial workers.
    • Helps to prepare for meeting and events.

    Knowledge, Skills & Attributes

    • At least 8 years of related work experience reflecting office management and leadership abilities.
    • High school diploma is required, Bachelor's degree preferred
    • Professional certification(s) or licenses are a plus
    • Experience in purchasing, contracting and vendor management.
    • Knowledge of the variety of supplies, machinery, and equipment that the organization uses.
    • Understands mailing, shipping, receiving, packaging, transportation, and related operations.
    • In-depth understanding of MS Office suite.
    • Excellent organization and prioritization capabilities.
    • Must be able to meet commitments in a fast-paced quickly changing environment.
    • A proactive approach to problem-solving with strong decision-making skills.
